Creating your Account
You will receive an email invitation from the Vendor Portal prompting you to register:
Click the Create Your Account link to be directed to the sign-in page. You will then be prompted to send a verification code to confirm your identity and email address:
Enter the verification code in the designated field and confirm to proceed:
Next, you will be prompted to create a password and enter your name to complete your account setup.
Signing in to Vendor Portal
Go to the following link to log in to the Vendor Portal:

Click Login as Vendor in the upper right-hand corner:
Sign in using your Email Address and Password:
On the left side of the screen, you will see the following dropdown headers:
Note: The options displayed may vary based on your access level.
Completing your Company Profile
To complete your account registration, you must fill out three required sections: Company Profile, Banking Information, and W-9. All mandatory fields within these sections must be completed in order to enroll in the Vendor Portal.
Please note: Only registered Vendor Portal users can complete the Company Profile due to the sensitive and private nature of the information required during onboarding. U.S. Cold Storage cannot enter or upload company data on your behalf.
Company Profile:
This section includes your organization’s primary information such as company name, industry, size, primary contact details, address, and any social media links you wish to provide.
Required fields: Company Name, Industry, Contact Name, and Contact Information.
Remit-To:
If your company has multiple remit locations that clients need access to, you can enter that information here. This section also allows you to easily track address changes or company acquisitions.
Banking Information:
Enter your preferred payment methods, including ACH or direct deposit.
- Required fields: Payment Method. If selecting Direct Deposit/EFT, you must provide bank account details along with an uploaded bank letter or a voided check.
W-9:
Complete the W-9 eForm for integration into our ERP system, and upload a copy for reference.
- Required fields: Name, Federal Tax Classification, Taxpayer Address (including City, State, and Zip Code), and either a Social Security Number or Employer Identification Number.
Note: While both SSN and EIN fields will appear as required initially, completing one will make the other optional.
Other:
Optional sections include organization-specific information such as environmental goals, company policies, compliance measures, risk management practices, financial performance, and notable achievements. While not mandatory, providing this information can support your consideration in the Vendor Selection process.
Once all required fields are completed, the Submit button in the upper right-hand corner will become active. Click it to submit your profile for activation.
Congratulations! Your Company Profile is now complete.
Please allow 1–2 business days for United States Cold Storage to review and approve your profile.
You will receive a confirmation email once your profile has been accepted. At that point, you may begin using the Using the Vendor Portal:
If additional information is required for your profile, you will receive an email outlining the necessary updates along with the next steps to complete the process:
Using Vendor Portal
As a vendor, you will have the ability to submit invoices, review submitted entries and check the status of your invoices directly within the Vendor Portal.
Submit an Invoice in the Vendor Portal:
From the left-hand navigation menu, select Capture Invoice. You can either drag and drop your invoice files into the designated upload window or click inside the box to open your File Explorer and select files manually.
Once all invoice files have been uploaded and show a Ready status, click the green Capture Invoice button located in the upper right-hand corner of the page to submit.

Yoga Vendor Portal Views Navigation
Tip: While in any view, you can click and drag column headers to reorder them and customize the layout to suit your preferences.
All Invoices:
Displays all invoices submitted through the Yoga Vendor Portal, including any historical invoices that have been imported into the system.
Submitted Invoices:
Shows only those invoices that have been submitted directly through the Yoga Vendor Portal.
Open Invoices:
Includes all invoices currently in the system that have not yet been marked as paid.

Vendor Communication
The Vendor Portal enables efficient communication between vendors and our team regarding invoices and vendor information updates. As a vendor, you will use the Document Notes feature to inquire about invoice statuses or request updates to your vendor information.
All responses and updates will be provided within the Document Notes section, including any issues related to invoice details. You will receive an email notification whenever a new comment or response is added to the Document Notes.

Vendor User Management
Once your Company Profile has been approved, you can begin adding additional users from your organization to the Vendor Portal. Below are the available user roles that can be assigned to individuals within your organization:

Vendor Administrator:
- Permissions:
- Modify Vendor Profile information
- Manage users associated to their vendor tenant
- Upload/review invoices to the Vendor Portal.

User Account Personalization
Navigate to your User Profile in the upper right-hand corner of the screen to personalize your Vendor Portal experience.
My Profile:
From the My Profile section, you can update your avatar, display name, email address, and set your default view.
- To Update Your Default View:
- Go to My Profile > Account Information
- Use the dropdown menu to select your desired Default View
- Click Save Changes
Your default view will be applied the next time you log in.
What's New:
Access the latest updates on the Yoga Suite of Services, including release notes, user guides, and product demos.
Sign Out:
Select Sign Out to log out of the Yoga FSM platform.
Help! I Received an Error Message When Registering for the Vendor Portal
If you encountered an error during registration, try the following troubleshooting steps:
Are You a Vendor Located Outside the United States?
Your IP address may need to be whitelisted. Please contact support@rpic.com with the following information:
- Go to a search engine (e.g., Google) and type "What’s my IP address".
- Click on one of the results to find your public IP address.
- Send your IP address in the email for prompt assistance.
Additional Troubleshooting Tips:

Use an Incognito/Private Browser Window:
- Open an incognito/private window
- Right-click the Create Account button
- Select Copy Link Address
- Paste it into the incognito window and proceed

Try a Different Browser:

If you’re using Chrome, try switching to Edge or Firefox (or vice versa).

Clear Your Browser Cache:
- Open your browser settings
- Navigate to Privacy and security (or similar)
- Select Clear browsing data
- Choose a time range
- Ensure Cached images and files is selected
- Click Clear data

1. Check Your Spam or Junk Folder
- The sender will appear as RPI B2C Prod.
- You can also search your inbox using the keyword "Yoga" to locate the email
2. Contact Your IT Department
